Before Vaelance, we ran IT operations in environments where the stakes of a network failure were not "the office is slow today." The habits we built in those environments are directly applicable to small business IT — and they are habits that most commercial IT shops do not have.
This is not a story about military technology being superior. It is about a set of operational disciplines that the military enforces because the consequences of ignoring them are severe. Those same disciplines, applied to small business IT, produce networks that are stable, recoverable, and maintainable by someone who was not the person who built them.
Every communications system had a technical manual. Every configuration change was logged. Every piece of equipment had a preventive maintenance schedule recorded in the unit's maintenance tracking system. When personnel rotated out every 12–18 months, the incoming team could operate the system from documentation alone. This was not optional — it was mission-critical. Undocumented systems failed when the person who built them left.
In small business IT, undocumented systems are the norm. The IT person who set up the server four years ago is gone. Nobody knows the password to the firewall. The WiFi password is written on a sticky note somewhere. The backup drive is running, but nobody knows where the recovery software is installed or what the schedule is.
The civilian translation is straightforward:
Every system has a TM (Technical Manual) and PMCS (Preventive Maintenance Checks and Services) log. Changes are entered in the unit's maintenance tracking system same day.
Every network device has a config backup. Every server has documented credentials in a password manager. Every backup schedule is written down. Network diagrams exist. Your IT person gets hit by a bus and the next person can operate without them.
We deliver a documentation package at the end of every engagement: network diagrams, IP address tables, device inventory, configuration backups, backup schedules, and a runbook. Not because clients ask for it — because an undocumented installation is not finished.
Communications in a military environment requires redundancy. Primary, alternate, contingency, and emergency (PACE) planning means you always have a fallback when the primary system fails — because in a high-stakes environment, it will fail. Radio, satellite, landline, and messenger are all in the plan because no single path is assumed to be reliable under all conditions.
Most small businesses have exactly one internet connection. When it goes down, everything stops. They have exactly one server. When its hard drive fails, data access stops. They have one person who knows the IT setup. When that person is unavailable, problems cannot be resolved.
Primary: Your main fiber or cable internet connection. Alternate: Starlink or LTE failover that activates automatically when primary fails. Contingency: 4G hotspot on your phone and knowing which applications can run without the local server. Emergency: A runbook that tells any employee what to do and who to call when all else fails.
Redundancy does not mean buying duplicate hardware for everything. It means understanding where your single points of failure are and having a plan — not a hope — for what happens when each one fails. A dual-WAN router that fails over to a cellular backup costs $300–$500. The hours of business downtime from a single ISP outage costs more than that.
In military communications, you did not make changes to operational systems without a formal change request, a review of potential impacts, a rollback plan, and a maintenance window. The discipline was not bureaucracy for its own sake — it was a hard-learned response to the reality that unchecked changes to production systems cause failures at the worst possible times.
In small business IT, the most common causes of unexpected outages are not hardware failures — they are changes made without planning. An employee updates the server's operating system at 2 PM on a Tuesday and it breaks a critical application. A vendor changes a firewall configuration "real quick" and takes down VPN access for remote workers. A Microsoft 365 admin enables a security policy that locks out the CEO's mobile device right before a board call.
The civilian translation is not elaborate change management software. It is three simple habits:
- Never update production systems during business hours unless the patch fixes an active security incident. Updates go in on Friday evenings or weekends.
- Test major changes in a non-production environment first when possible, or have a rollback plan documented before you begin.
- Communicate changes before they happen to anyone who might be affected. "I am patching the server Sunday night" takes 30 seconds to communicate and prevents Monday morning panic when an application behaves differently.
In a military communications context, you operated under the assumption that the network was potentially compromised, that any device connecting to the network was a potential threat vector, and that access rights were granted based on verified need, not convenience. These were not policies you added after the fact — they were baseline assumptions that shaped every configuration decision from the start.
Commercial IT takes the opposite approach by default. Equipment ships with all ports open, all services enabled, and default passwords that are the same on every unit of that model worldwide. The burden is on the administrator to lock things down — and in small business environments, they often do not.
Security-first thinking means: default deny, explicit allow. The firewall allows specific traffic that is explicitly needed, not everything except the things explicitly blocked. User accounts have the minimum permissions required for their job, not admin rights because it is easier. New devices on the network are assumed untrusted until they are verified and placed on the appropriate VLAN.
This is not paranoia. It is the posture that prevents a compromised guest device, a phishing click, or a misconfigured server from becoming a total network compromise.
In a military unit, mission accomplishment is not optional. "I got it halfway done" is not an acceptable outcome. There is a single point of accountability for every task — one person who owns it from start to finish. Escalation happens when you need resources, not when you want to hand off ownership. You do not leave until the mission is complete.
This is the habit that most commercial IT shops genuinely struggle with. Tickets get opened, escalated, deprioritized, and closed without resolution. A business owner calls their IT company and talks to a different person each time. Nobody has clear ownership of whether the problem actually got fixed. The help desk model is fundamentally at odds with the single-owner accountability model.
